    SEBS-NA Meeting Minutes, July 11, 2004

    The first meeting of the newly elected Executive Committee was held via conference call on July 11, 2004, noon PST.

    Those in attendance were:

    Sagar Onta : President
    Pramod Aryal: Vice-President
    Aalok Kharel: General Secretary
    Kiran Sitoula: Past-President; Treasurer

    1. Institutional History:
    The meeting discussed about keeping electronic and paper archive of all SEBS-NA meetings, articles of organization(s), and various resolutions that SEBS-NA adopts for its programs. In the next two years, one of the goals of the new excomm is to provide organizational structure so that future generations of executive committees have a good precedent to follow. In that regard, all the programs of SEBS-NA has to be recorded in the organizational tree, in the form of resolutions. Aalok Kharel, Rajan Nepal (sebsonline webmaster) and Sagar Onta will be responsible to modify the electronical archiving procedure of SEBS-NA. www.sebna.org will be used for official archive and business of SEBS-NA.

    2. Female Paticipation:
    It was decided that female member participation in SEBS-NA programs should be emphasized and sought after. With the number of female members rising, it is important to cater to their needs. Female members are encouraged to participate in SEBS-NA activities and help guide SEBS-NA to its future. SEBS-NA would work on to increase the participation of female members.

    3. Working Guidelines:
    Working Guidelines between SEBS and SEBS-NA would be resolved soon, hopefully within a month or so. It was emphasized that a it would be better to have a SEBS-NA representative and should be appointed sooner than later as part of the Working Guidelines. Kiran Sitoula, Yubraj Acharya and Pramod Aryal will be responsible to move it forward and get issues resolved with SEBS. Kiran and Sagar updated Aalok and Pramod on history of the MOU and Working Guidelines.

    4. Project Application Process:
    It was decided that an application process has to be established to process request to assist various programs that are forwarded by members and BNKS students. The objective of the process is also to teach the members and BNKS students about writing grant proposals. As such, Sagar will draft the application process, its requirements etc. Relevant references would be provided to refer for proposal writing. In addition, community outreach was emphasized, and SEBS-NA would encourage BNKS students to work in tandem to community for their programs. This is to enhance the leadership quality and community understanding. The process has to be finalized by September 2004 to be introduced to BNKS students in October when Sagar is back in Nepal for a month.

    5. Oath of Office:
    The draft oath formulated by Pramod and updated by Sagar is agreeable to all the executive members. The new officers will be sworn in by the independant election commissioner, Puru Subedi, via the phone. Once oath taking is completed it will be posted in SEBSONLINE.ORG. The members also decided to include the oath as part of the future election procedures, by including it in the Article of Oganization.

    6. Official Notification/Press Release:
    Sagar will draft the official notification/press release to be sent to various media outlets and organizations, including; Nepali Post, Kantipur, Nepal News, Nepalese Embassy in Washington DC, SEBS, BNKS and FOBS.

    7. Advisors:
    The meeting decided to update the list of advisors with three nominations from each excomm member. The advisors will be consulted on important issues to give direction to SEBS-NA. The excomm will regularly update the advisors on current status of SEBS-NA.

    8. Presidential Candidate:
    Sagar brought the issue of expanding the eligibility of SEBS-NA Presidential candidate. Currently, only excomm member can be eligible to be a candidate for the president. The reason behind it is to give continuity in the leadership. However, this method provides only small pool of individuals who can stand for president. Sagar proposed to extend it to six years. As such, if a member had been in the SEBS-NA executive committee for last six year, he can directly stand for presidency. The meeting decided to defer this matter to the future, and continue discussion through emails since its an important issue.

    9. Consolidating Funds:
    In the past four years, funds established to assist BNKS, Libary, Internet etc has not moved forward at acceptable pace. As such, the move to give closure to the funds and concentrate the efforts on concrete projects was brought up. The issue was decided to be further discussed through emails.
