Minutes of Joint Meetings between the Society of Ex Budhanilkantha Students (SEBS) and Budhanilkantha School (BNKS)

Mr N. P. Sharma, Principal of Budhanilkatha School (BNKS) presided the Joint Meeting of the BNKS team and the SEBS team and welcomed everybody in the meeting.
The Agenda discussed in the today's meeting and resolutions passed in presence of following members are as follows: From BNKS: I. Principal, Budhanilkatha School : Mr. N.P. Sharma II. Resolutions: 1. Considering the huge financial dues and arrears (i.e; loans and non-payment of school fees/charges) of the BNKS ex-students (now SEBSers), the meeting has decided to jointly undertake dues and arrears recovery campaign led by the SEBS. As per the decision, BNKS would provide the SEBS loan/s to meet its administrative and communications expenses required for the realization of dues and arrears. The meeting also decided to thank School Management Team (SMT) for its commitment to give the SEBS 50 (fifty) percent of the total realized amount to be accounted to the SEBS fund. The outstanding amount of ex-students (now SEBSers)- some of the loans are also found to be guaranteed by previous SEBS executive committees, is equivalent to Nepalese Rupees 5 (five) million as per the record. The meeting requests all ex-students (now SEBSers) to pay back their respective overdue and outstanding loan amounts to the BNKS from April 1, 2010 until next notification from the SEBS, and the meeting was convinced by the way of paying back the amount to the BNKS, the ex-students would be supporting its alma mater and its own organization- the SEBS.
2. As decided by the meeting the SEBS telephone 01-4411390, the ownership of which is still lying in the name of Budhanilkatha School will soon be transferred in the Name of SEBS, for which SEBS shall fulfill the procedures of Telecom as required.
3. Keeping the good tradition to bid farewell to the outgoing batches of A level and 10+2 by Budhanilkatha School and welcoming by the new members to the SEBS a grand function will be organized jointly by Budhanilkatha School and the SEBS tentatively in 2010 June 10 to 17.
4. The career-oriented and experience sharing program for senior batches of Budhanilkatha School will be organized by the SEBS in coordination with school Captains and Prefects once a month staring from March 2010.
5. The meeting decided that Budhanilkantha School (BNKS) shall provide ex-students of BNKS necessary reference letters, recommendations, testimonials, documents and records or any other support only with the consent of the SEBS. If any ex-students want to built up any kind of working relationship with BNKS now onwards shall get prior recommendation from the SEBS. However, this provision shall not be applicable for the students who have not completed two (2) years of their graduation from the BNKS. When the capacity of the SEBS to administer enhances, this two (2) year moratorium shall be reduced in mutual understanding between the BNKS and the SEBS.
6. SEBS President briefed about the proposed amendments in the SEBS Article of Association (AOA) and the School was happy to get such a comprehensive AOA. BNKS Chief of Administration Mr Nani Ram KC also handed SEBS a format of AOA that could utilized to upgrade the present AOA of the SEBS as per the rules and regulations of the government. The BNKS shall provide recommendations on the proposed AOA put forth by SEBS Executive Committee at the SEBS Special General Assembly (SGM) held on March 13, 2010 in Lalitpur at latter date.
7. The meeting also shared opinions on the SEBS "TEAM EK SAYA EK" Fundraising Initiative and also notified formally to SMC and FOBS related to BNKS through the School of their representations in the Trust Fund Committee. The school was happy to hear on its recent progress of the fund status and agreed to support the SEBS initiative and activities as far as possible.
8. The BNKS team supported the proposal tabled by the SEBS to organize sports, cultural, entertainment and education programmes and activities at the BNKS premise targeted to the current students and ex-students of BNKS provided that all uphold the BNKS decency and code of conduct inside the premise. To ease the coordination of programmes and activities, the SEBS shall coordinate with the School Captain for organizing the programmes and activities, and taking appropriate decisions regarding timing, venue, participation and other logistics.
9. The meeting ended with a note from SEBS President for the co-operation and support of members of both teams, and thanked Budhanilkantha School authorities for organizing the meeting. The meeting decided that the next joint meeting of the BNKS and the SEBS will be held within two months or as deemed necessary at any time.
