    SEBS-NA Excomm Meeting Minutes

    Excomm Meeting Minutes

    When: January 26, 2002, 12:00 noon EST – 1:15 EST
    Where: www.sebsonline.org – Excomm Meeting Room
    Who: Kiran Sitoula 268B – President, SEBS-NA
    Suren Shakya 161A – Vice President, SEBS-NA
    Sagar Onta, 477B – General Secretary, SEBS-NA


    Agenda 1. Relationship with SEBS.
    · Concerns were raised about the relationship with SEBS in Nepal and its impact. Good faith effort will be maintained to bring the organizations closer. We will wait for MOU to be initiated from Nepal and respond accordingly. Pending the outcome SEBS-NA will move forward with implementation of various project like Library and Internet. It is hoped that agreement with SEBS will be reached soon.


    Agenda 2. SEBS-NA representative in Nepal.
    · Should SEBS office agree, we shall request for permanent representation in the office. We will also financially support permanent full time secretary and we will request SEBS that secretary be female to emphasize co-ed nature of our organization.


    Agenda 3. Process for project proposal discussion and acceptance.
    · Suren dai was put in-charge to review and recommend Project Acceptance Policy by February 28, 2002. Sagar Onta’s original draft will serve as starting point. Any current request to program will be deferred until formal adoption of SEBS policy.


    Agenda 4. PRDC project proposal by Ram Khadka 412B.
    · It was agreed that the project proposal was good and will be taken into consideration. However, the Project Acceptance Policy has to be set first before accepting this project. It was also noted that Ram Khadka has been asked to submit detail financial breakdown for the project.

    Agenda 5. Dr. Shyam Karki's Bridhyashram Proposal.
    · SEBS-NA will support the request of Dr. Karki as it is very much in the spirit of SEBS members. It was also decided that the Social Service Club should be contacted to be in the team. Sagar Onta will contact the school SS Club. This project was also identified as potential project to bridge the gap with SEBS. Kiran dai will contact Dr. Karki and clarify the admission policy of the proposed Bridhashram so that it does not conflict with SEBS-NA’s policy. E-mail request will be sent to SEBS Nepal to solicit their interest. Should events turn out favorable we will act in partnership with Dr. Karki and help him raise the funds.


    Agenda 6. Stanford University Internship (NPCCI) project.
    · Kiran dai raised issue about complication due to bureaucracy in Nepalese government. Need to further discuss this before final proposal is sent to Stanford. Everyone stated that it’s a good project but needs lot of work and clarification. Raby dai, the coordinator from Nepal should be contacted on this matter. Kiran dai to have phone conversation with Dr. Biblav Yadav and pass the information to Sagar and Suren dai.


    Agenda 7. Annual Gathering in Washington DC
    · The logo for 2002 Annual Gathering will be sent to Prasant (400B) for his design input. Need to produce progress report for each project was emphasized. Detail discussion will be held in next meeting.


    Other Agreements:
    1. Tentatively SEBS-NA Excomm Meeting is set for last Saturday of every month at noon EST at www. sebsonline.org in the Excomm Meeting Room.

    SEBS-North America also congratulated Rajan Nepal, webmaster who became DAD. We wish a healthy and prosperous life for his kid. We also recognized efforts put by all members of SEBS to make a grand reunion successful at Sherpa hotel. SEBS-NA also expressed it condolences over the sad demise of Sumit Rajouria 755B.

    Outstanding Issues:
    Due to lack of time, following points will be discussed in the next Excomm meeting on February 23rd.
    1. Role of Advisors.
    2. What is the most effective way to get response from the advisors?
    3. Formation of SEBS Website Committee.
    4. Need to attract cooperate donors. Identification, procedure to proceed, grant proposal writing etc.
    5. Reviewing Network Project, Book Project.
