    Date: August 25, 2012

    1. Welcome to the members of the Advisory Committee
    The members of the advisory committee were welcomed by the current SEBS president Dr. Tejsu Singh Malla and the executive committee. The committee is constituted of the following members:

    1. Principal of Budhanilkantha School (BNKS) as the de-facto member: N. P. Sharma
    2. FOBS Representative – 1: It will be recommended by the Chairman of FOBS, Mahendra Bista upon the SEBS Ex-Com’s request
    3. BNKS Teacher Representative – 1 : It will be recommended by the Principal of BNKS, Narayan Prasad Sharma upon the SEBS Ex-Com’s request
    4. Immediate Past President – Suresh Acharya 139 C
    5. Past SEBS Presidents – 2: Gyanedra Pandey 937 A and Prajesh Bikram Thapa 559 B
    6. General Members – 2: Bijay Babu Shiwakoti 355 C and Sagun Lawoti 933 A
    7. Currents SEBS President (Member Secretary of the Committee) – Dr.Tejsu Singh Malla 248 C
    The advisory committee was notified of its nomination and constitutional responsibilities.

    2. Welcome to SEBS Executive Committee members (Extended)
    As per the constitution of SEBS the current executive committee has selected two members to be added as the executive committee members for 2012/13. The newly selected members are: Bolaram Panday 904 A and Kanchan Basnet 123 B. The current ex-come welcomed their new members.

    3. Educational Committee Progress Report
    The educational committee reported that they had a few meetings and has had significant progress on the educational plans of SEBS. To start with the committee has already started its SAT Preparation Classes in the SEBS office itself during the evening hours. The committee plans to conduct A-Level tuitions with the October-November session being the immediate lucrative prospect.

    Similarly the committee is sticking together to its plan of voluntary career counseling to BNKS students with talk programs in the school premises.

    4. SEBS Privilege Card
    To start with, the agenda is to persuade restaurant owners of Kathmandu valley, preferably the owners being SEBSers. The card shall constitute a self sustaining project for the financial of SEBS as some portions of the discounts shall be deposited into the accounts of SEBS. There has been significant progress with costs regarding cards decided and looked upon.

    5. Office Renovation
    This was the highlight of all the progresses made within this week. Initiated by the president the office renovation task went in full efficiency as the office was painted, carpeted and the repairs done. The total expenses incurred during the process amounted to Rs. 15, 860/- which was covered up from pledges and donations. Dr.Tejsu Singh Malla 248 C and Gyanedra Pandey 937 A contributed Rs. 1,500 and Rs. 6,000 respectively for the carpet while pledges from Vidhan Rana 300 C (Rs. 10,000) and Shyam Aryal 100 B (USD $ 100 = Rs. 8,400) will sum up a profit of Rs. 10,040 to SEBS – if collected.

    6. School Assembly Attendance
    The Executive Committee also decided to officially attend and address BNKS about the new Ex-Com during the school assembly on September 3, 2012.

    7. New Signatories
    The executive committee decided on the change in signatory for this term. Each and every check issued from SEBS should have a signature of the treasurer Suman Mandal and either of the signatures of President Dr. Tejsu Singh Malla or the General Secretary Kaushal Raj Sapkota for it to be a valid one.

    8. BOT and SMC, FOBS
    With the discussions still on in regards to constitutional requirement over our representation in the SMT and BOT of Budhanilkantha Shool; the advisory committee decided to create a panel of ex-presidents in selecting an individual constitutionally for the purpose.
    Mr. Bidhur Adhikari 171 B was congratulated for being the SEBS representive in FOBS for the year 2012/2013.

    9. SEBS Constitution
    The advisory committee also stressed on the importance of submitting the constitution of SEBS registering the amendments in the CDO Office as quickly as possible.

    10. 2000D Life Membership
    A matter of disgrace and an organizational error was discussed during the meeting. As said by the principal a SEBSer from the earlier executive committee with an official letter of SEBS had collected Rs. 1,500/- per person for a few students from the recently graduating batch of Budhanilkantha School – 2000 D. The money collected as the life membership fund is seen not to be reported either to the president or the treasurer during that term. The meeting decided to form a committee in investigating the matter to its depth and presenting a report in the next ex-com meeting.The School principle Mr. N.P.Sharma has informed the SEBS that he will be issue a letter to SEBS regarding this matter.
    Also investigation on the sales of SEBS T-shirts will be the responsibility of the committee.

    11. Formalization
    All the members who were attendant to the meeting felt the necessity of formalization of SEBS’ organizational practices. To start with the Ex-Com decided to have fixed people to sign in the letter heads. The person who is authorized to have his signature on the official letters are: the President or the General Secretary of SEBS while program coordinators of individual events shall have their signatures alongside the other two mentioned in all the documents related to the event. Also importantly discussed were the issues regarding the misuse of the official seal of SEBS and the letter heads. All were to be taken only with the information to either the President or the General Secretary with preferably both as the better option. All letters to be dispatched are to be registered while SEBSers were now strictly prohibited to take the office property outside of SEBS without a written request approved by the president
